TFM's language: in ENGLISH exclusively

  • The Master Thesis  must be written in English.
  • The public presentation of the The Master Thesis  is conducted in English.

Intranet sites

The places of the Intranet you will have to use at the different parts of the process are the following:

Step 1

Offers Application

(Except for incoming exchange

students. See info step 1)

ETSETB Intranet (https://www.etsetb.upc.edu/sys/login.html).
Menu: Docència > Ofertes TFG/PFC/TFM.
Rest of steps Deposit Application ETSETB Intranet (https://www.etsetb.upc.edu/sys/login.html).
Menu: Acadèmica > Dipòsit TFG/PFC/TFM.

Associated Regulations ( in Catalan only)

1. Offer and allocation of thesis (Intranet ETSETB)

Regular students

 Offers Application. General information

The professor who will act as advisor (or co-advisor) of the Thesis and meets the requirements set out below, in this section, will introduce the thesis offer through the offers application at the School intranet (https://www.etsetb.upc.edu/sys/login.html), menu: Docència > Ofertes TFG/PFC/thesis.
There are two options to assign the thesis to a student:
  1. The professor may choose the student directly when uploading the thesis at the offers application, if it has been previously agreed between them. So that the assignment is completed, the student must choose the “accept” option.
  2. The professor may publish the offer and set a deadline for students to apply for it. In this case, the professor will select one of the candidates, who can accept or reject the thesis awarded. The assignment will not be completed until it has been accepted by the student selected.

Requirements of professors and students
  • To upload the thesis on the offers application, the professor must meet the requirements to act as thesis advisor (Academic Regulations for Masters Degree Theses)
  • To be assigned to a thesis, the student should not have more than 36 ECTS pending to overcome, apart from the thesis.

If there are two co-advisors, one of them will act as the secretary of the Evaluation Board. The future secretary must upload the offer and fill in the fields with the details of the other co-advisor.

Incoming exchange students who come for only one semester

For incoming exchange students that come to the ETSETB only to do the Master Thesis, this step is not followed at the Intranet, since the student has no access to the Intranet before finding a Master Thesis. In this case, please read the section "Before enrollment" at: http://etsetb.upc.edu/ca/international/foreign-students/application-and-procedure#section-13.

Incoming exchange students who come for two semesters

If the incoming student performs the project after having studied courses one semester at ETSETB, the step can be followed through the Intranet like the regular students.

2. Thesis enrolment (e-secretaria)

Requirements and procedures:

To enrol the thesis, the student must:
  1. Accept through the Intranet the thesis previously assigned to him/her by the professor, as explained in point 1. (Except for the exceptions indicated in the last paragraph, where the acceptance will be by paper)
  2. Enroll all the pending ECTS of the master (maximum 36 ECTS counting the subjects and the TFM).
The TFM must be enrolled ONLINE at the beginning of the semester, on the enrollment period (see: Enrollment not new students -link-). REMEMBER step 1, to be done through the Intranet before enrollment.

Validity period of enrollment

The enrolment is valid until the end of the semester

Extension of enrolment (
NOT VALID until the end of next semester):

If the assessment of the thesis does not occur in the same semester in which it is enrolled there may be an extension of its validity if the student pays the amount of the administrative services (arround 90 € for management of academic records, supporting learning and student insurance, if applicable).
This extension, however, does not extend until the end of the semester. These deadlines are published in NAGRAMA; check dates in table below.

Procedure of extension: If the student is not evaluated within the deadlines of the ordinary period, by the beginning of the course, the school will issue the payment document, so that he/she pays the extension fees. If you don't want to extend the period, you will have to do a request by "other procedures" of esecretaria.upc.edu

After this period, if the thesis has not been assessed, it will qualify as NP, and the student will have to enroll it again. The price of this new enrollment will include the thesis credits with the corresponding increase for second registration, as well as the fees for administrative services.

Incoming exchange students

For incoming exchange students, this step is somewhat different. Please read the section "Enrollment" at: http://etsetb.upc.edu/ca/international/foreign-students/application-and-procedure#section-13.

3. Assigning of Evaluation Board (request form issued through ETSETB Intranet)

Students that defend at UPC

The process to assign the evaluation board for the students that defend their TFM at UPC is the following:

Submit document of request signed by tutor and student.
After the student is allocated a TFM (step 1), the master's thesis will be uploaded into a new section of the Intranet (this will take 1 or 2 working days). This new section is named TFM Diposit. It is located at the Intranet of the ETSETB (https://www.etsetb.upc.edu/sys/login.html), at the item Acadèmica of the left menu.

At this new section of the Intranet, the student can generate and fill the document to request for the evaluation board, which then the tutor must send to the responsible person in the Academic Office (etsetb.tfm@upc.edu). Due to the situation caused by the COVID-19 crisis, the document doesn't need to be signed.

Deadline to deliver the request document

This document must be delivered at least ONE MONTH BEFORE PRESENTATION.

Notification of the designed evaluation board:
Seven days after the request, the student will be informed about the names of the professors of the master's thesis evaluation board. This information will be sent to the student's e-mail of the school and the personal e-mail where it is readdressed (if any). The student may consult this information at the Diposit section of the Intranet as well.

OUTGOING students that defend abroad in a mobility program (not valid for traineeships)

Students that defend abroad in a mobility program will also be assigned an evaluation board at ETSETB who will assess their thesis, according to the report uploaded by the student and the supervisor's assessment and the transcript of records (or the lecture certificate) that must be sent to from the host university.

These students will have to request for the evaluation board in the same way as the students who defend at UPC. At least one month before the deadline for defense at UPC. At the request, they should inform that they will not defend at UPC.

4. Documents to be uploaded. THESIS MUST BE IN ENGLISH.

Deposit application. Fields to fill up and documents to upload by the student: at the Deposit Application of the school intranet (https://www.etsetb.upc.edu/sys/login.html), menú: Acadèmica > Dipòsit TFG/PFC/thesis, the student has to fill up the following fields and upload the following documents:

  1. Authorization and confidentiality:  Digitally sign the type of Authorization and confidentiality to publish the Master Thesis through the web site of the UPC library and Documentations: check the boxes in the tab named “Authorization and confidentiality”.

The deadline for signing is on the calendar at the bottom of this page. Please, be aware that If you don’t sign it, you won´t be able to upload the Final Thesis file.

Important: before signing the confidentiality keep in mind the following aspects (you will find the links to the regulations associated to the end of this page, be aware that those documents are in Catalan only):

• By default, as envisaged in point 3.5 NAGRAMA, the student authorizes the dissemination of work to the electronic repository of academic works of the Library Service (Servei de Biblioteques i Documentaciói de la UPC).

• In case the student signs it as NOT confidential, if the advisor/co-advisor believes that confidentiality is appropriate, she/he may modify this agreement, indicating the reason before signing it (Point 3.2 of the intellectual property regulations of the UPC). The student will receive information on this.

The advisor has to validate this confidentiality agreement before being able to validate the Final report file.

  1. Final Thesis  file. Students must upload the file of the report at the Files tab. The title of the cover must exactly match the title in the Bibliographic data tab. Here you will find a template for your master’s thesis in LaTeX and in word. Remember that THE TEXT OF THE THESIS MUST BE ENTIRELY IN ENGLISH.

  2. Bibliographic data. It is necessary that the student completes all fields: title, abstract and keywords, at the Bibliographic data tab. The title must exactly match the title of the cover file of the report. Important:: If it has been modified, you must request us by email (virginia.cabello@upc.edu), to change it at the system, so that it matches with the cover of the  final report uploaded and the browse “bibliographic data” .

Mobility (outgoing) assessment documents (even though thesis is defended at UPC). For the assessment of outgoing students it is a requirement that we receive the following documents directly from the host institution to , which will be uploaded by the ETSETB staff at the Deposit application:

4.- Supervisor's assessment. All outgoing students, even though they defend at UPC.

5.- For students that don't defend at UPC (only for stays for studies -SMS): Either the Official transcript of records in original format or sent directly from the host university to or the  Certificate of oral presentation abroad, with the logo of the host university and the signature/s requested at the certificate. This is only for stays of studies (SMS). In traineeships, defence at UPC is compulsory.

File validation by the Secretary:
When the secretary of the board considers that the file memory and the details pointed above are definitive, he will click the validation button at the files tab. After this validation, no detail or file can be changed. From this moment on, the other members of the board may view the file memory.

This validation must be fully completed one week before presentation.
The deposit application to upload the files will be available for the student 24-48 hours after the allocation of the thesis (section 1) is completed.

5. Previous to defense (for students who defend at UPC)

The public presentation of the TFM is conducted in English.

Reservation of Classroom (Reservaespais Area)

Once the student has agreed a day and hour for the presentation with the Evaluation Board members, he/she will have to reserve a classroom. The reservations for the classrooms located in B3 (Multimedia or Teleensenyament) have to be done at the “Reception”, located on the ground floor of building B3 (93 401 68 00, reservaespais@etsetb.upc.edu).

Approval for reading (Intranet ETSETB)

At least five working days before the thesis presentation, the student has to introduce the date, time and classroom where it will take place at the deposit application.
The fields to introduce these data are in a tab named “Approval for the defense” that will be shown to the student as soon as the report file is validated by the Secretary.
All the members of the Evaluation board must give their agreement to the proposed date and time through the same application. Until this is done, the Department of Academic Affairs won't initiate the process for the reading.

Exceptionally, due to the COVID-19 crisis, videoconference thesis presentations are permitted. If so, the student has to specify through the deposit application that the presentation will take place by videoconference. Administrative staff will provide and publish the videoconference details.

Mobility outgoing students with special requirements for thesis presentations, please  consult  the Mobility website (https://telecos.upc.edu/en/international/studying-abroad/procediment/procediment)
6. Previous to assessment (for outgoing ETSETB students that don't defend at UPC)

ETSETB mobility outgoing students that defend and are assessed abroad (remember we will need the supevisor's assessment and the lecture certificate, as explained at the section "documents") may not defend at ETSETB, provided their stay is for studies (SMS), not for traineeship (SMT). The assessment process then will be the following:

  1. After we receive the supervisor's assessment and the lecture certificate, we will notify the members of the evaluation board that they can meet to assess the student. Remember that before that, the student and the ETSETB supervisor must have requested for the evaluation board and must have completed the thesis deposit.
  2. Once the evaluation board assesses the student through the ETSETB Intranet, the grade will be introduced into the student's records and he/she will be able to see it at prisma-nou.upc.edu/estudiants > expedient > documentació.
