Remote Defense Protocol for Master Thesis
As a result of the Covid-19 health crisis, TFM's defense actions will be carried out through Google Meet.
Before the Master Thesis defense you must read the following information:
- UPC staff/students: with your personal account @ upc.edu or @ estudiantat.upc.edu. You must identify yourself at the right part of the top of the window with the UPC username and password.
- Non-UPC staff/students: to access the session, you will have to wait for the validation of the secretary of the evaluation board at the beginning of the session.
It is strictly forbidden to record, disseminate, communicate, or publish a part or the whole session on the Internet or any other equivalent infrastructure.
- Camera and microphone turned off during the session:
We ask that you have your camera and microphone turned off during the session. You only need to activate them if requested by the president of the evaluation board. It is also recommended to have the speaker volume low or use headphones.
- If you want to intervene, you need an adequate camera background:
In the case of participating in the session, your image and voice will be visible and audible to all attendees. You should look for a background that leaves out of sight any personal object that you want to keep private.
- The call via Google Meet is communicated by email to all members of the evaluation board (alternates included); the student; and the co-director and speaker, if any. The meeting will be created by the School and the ownership of the meeting will be delegated to the secretary of the evaluation board.
- The secretary of the evaluation board will receive an email that must be accepted to own the meeting. This acceptance of ownership is very important for the proper functioning of the presentation in order to ensure that it is a public act as it will allow the secretary to:
- Accept or reject entry requests at the beginning and, if deemed appropriate, during the conduct of the defense.
- Silence microphones.
- Expel attendees, if appropriate.
- At the beginning of the presentation, the evaluation board secretary will present the “disclaimer” slide, which you can find at:
- Using the same Meet. The secretary of the evaluation board will ask everyone who is not part of the evaluation board to leave the meeting. If someone doesn’t want to go out, they can always expel the attendees. At the end of the deliberation, the student will be notified to re-enter the meeting and the grade obtained will be communicated. To invite the student, the Meet's "Add People" mechanism can be used.
- Creating a new Meet. The secretary of the evaluation board may create and share a new meeting with the other members of the evaluation board. Once the deliberation is over, all members will return to the meeting where the defense took place, where the student will have to stay in order to communicate the grade obtained.
- Once the defense is done, the grade recorded in the assessment records will be filled in on the School's intranet, "TFM commitee report" tab.
- If the evaluation board wishes to propose the defense with honors, this proposal and its justification must be stated as such in the table of the act designated for this purpose. At the end of the semester, all the proposals will be evaluated and communicated to the student, according to point 7.8 of the Regulations for the Master’s Thesis of the ETSETB.
- The assessment records will be signed using the UPC signature holder.

Your name and surname or session ID will be visible to the rest of the participants from the moment you attend the session through Google Meet. Your image and/or voice will be accessible to the rest of the participants if you activate your camera/microphone from the moment you attend the session through Google Meet. The session will not be recorded by the university. Your data will not be communicated to third parties, unless there was a legal obligation |
